Privacy Policy
1. Scope
This Privacy Policy explains how Liquor Logic (Pty) Ltd ("Liquor Logic", "we", "us", or "our") processes personal information when you visit our website, enquire about our services, create an account, use the Liquor Logic platform, or contact support.
It applies to information we control as the website and service provider. A Liquor Logic customer may also enter information about its own staff, customers, suppliers, or guests into the platform. In those cases, that customer remains responsible for its own privacy notices and lawful instructions, while we process the information to provide the service.
2. Information we collect
- Account and business details: name, surname, email address, phone number, company name, business address, industry, company size, country, currency, and registration details.
- Service and transaction data: information you add to the platform, including products, inventory, orders, production records, customer and supplier records, bookings, invoices, and configuration settings.
- Support and enquiry information: messages, contact details, demo requests, feedback, and records of our communications with you.
- Payment and subscription information: plan, billing status, invoices, and payment reference information. Payment card details are handled by the relevant payment provider and are not intended to be stored by Liquor Logic.
- Technical information: IP address, browser and device information, login events, approximate location derived from IP, pages visited, and security or diagnostic logs.
3. How we use information
We use personal information to:
- create and administer accounts, subscriptions, trials, and user access;
- deliver platform features, integrations, reports, orders, bookings, and support;
- process payments, send service and account communications, and manage billing;
- secure the service, prevent misuse, investigate incidents, and maintain audit records;
- understand usage, troubleshoot problems, improve features, and measure website performance; and
- comply with legal, tax, regulatory, accounting, and law-enforcement requirements.
We process information only for a lawful, specific, and relevant purpose. Where we rely on consent, you may withdraw it, although this will not affect processing already carried out lawfully or processing needed to provide the service.
4. Sharing information
We may share information with trusted service providers that help us host, secure, support, communicate with, bill, or operate the service. They may process information only for the services they provide to us and under appropriate confidentiality and security obligations.
Information may also be shared when you enable an integration, ask us to do so, require a service to be delivered, or when disclosure is required or permitted by law. We do not sell personal information or use customer data for unrelated advertising.
Some providers or integrations may process information outside South Africa. We take reasonable steps to use lawful transfer arrangements and appropriate safeguards where cross-border processing applies.
5. Cookies and analytics
We use essential cookies and similar technologies to keep the website and authenticated service working, remember relevant settings, protect accounts, and maintain sessions. We may also use analytics and performance tools on the public website to understand traffic and improve content.
Your browser can block or delete cookies, but some service features may stop working correctly. Where a third party provides analytics or an enabled integration, that provider may process technical information under its own privacy policy.
6. Retention and security
We retain information only for as long as it is reasonably needed for the purpose for which it was collected, to provide the service, resolve disputes, maintain business and tax records, meet legal obligations, or protect our rights. Customer data may be deleted or returned after account closure subject to contractual, legal, backup, and legitimate business requirements.
We use reasonable technical, organisational, and administrative safeguards, including access controls, secure transmission, monitoring, backups, and incident-response processes. No online service can guarantee absolute security, so please protect your login details and notify us promptly if you suspect unauthorised access.
7. Your privacy rights
Subject to applicable law and reasonable identity verification, you may ask us to confirm whether we hold your personal information, provide access to it, correct or update it, delete it where permitted, restrict or object to certain processing, or provide further information about our handling of it.
You can also unsubscribe from direct marketing communications. Requests may be subject to lawful limitations, including records we must retain or information we process on behalf of a Liquor Logic customer. If we process your information for a customer, we may direct your request to that customer.
8. Children
Our website and platform are business services and are not directed at children. We do not knowingly collect children’s personal information through the public website. If you believe a child has provided personal information to us, please contact us so that we can investigate and take appropriate action.
9. Changes and contact
We may update this Privacy Policy when our service, legal obligations, or data practices change. The latest version will be published on this page with its effective date. Where a change is material, we will provide a more prominent notice where appropriate.
